Managing Assets in MainTrak
Each asset record connects work orders, spare parts, technical documents, and maintenance history. When someone with the right permissions opens an asset, they’ve got access to all logged knowledge about that piece of equipment.
This means they can:
- View and edit asset details such as location, manufacturer, model number, and serial number
- Add photos and attach manuals, drawings, or certificates
- Record meter readings (e.g. litres, hours, cycles) and track usage over time
- See calculated maintenance costs month-to-date and year-to-date
- Assign a level of criticality for prioritising maintenance work
Technical notes and history for each asset
The technical notes tab is where tradespeople record what they learn or discover on the job: setup details, part numbers, and other updates. The notes they jot down today will still be available years from now, when no one involved can remember how that machine once got fixed.
Work management
From the work management tab, you can see all open and completed jobs linked to an asset, including who worked on it and when. Staff can add history on the fly by clicking “Add history”, and MainTrak records it immediately.
Linked PM tasks in the asset register
The PM tasks tab shows scheduled maintenance templates that can generate recurring work orders automatically, making it easier to stay on top of preventive maintenance and tackle issues before they arrise.
Spare parts management and purchasing
The linked spares and purchase details tabs make it easy to see:
- Which spares are associated with the asset
- What’s been issued or needs reordering
- Any purchase records tied to that asset
Linked Resources
The linked resources tab holds any technical or compliance resources such as manuals, safety documents, or checklists stored in the central library. From there, you can link any type of file to an asset.
Everything is cross-linked, so when you open an asset, you can see the full picture from the original purchase details through to the latest maintenance work.
